Position Overview

We are seeking a highly capable and strategic Office Manager to build, lead, and scale the operational foundation of a rapidly growing office environment projected to expand to 60–80 employees in the near term.

This is not a traditional administrative role. The ideal candidate is a systems-oriented operator who can design infrastructure, implement processes, manage vendors and budgets, and create an exceptional workplace experience that supports productivity, culture, and growth.

You will serve as the operational backbone of the office — anticipating needs before they arise, building scalable systems, and ensuring the physical workplace evolves in step with company expansion.

Key Responsibilities

Strategic Office Operations & Infrastructure

  • Design and implement scalable office systems to support rapid headcount growth

  • Lead office expansion planning (space planning, layout, furniture, build-outs, vendor negotiations)

  • Manage facilities operations including maintenance, safety compliance, security, and risk mitigation

  • Develop and oversee annual office operations budgets

  • Establish policies and procedures that support efficiency and compliance

  • Drive continuous improvement of office processes and workflows

Vendor & Contract Management

  • Own relationships with landlords, contractors, and service providers

  • Negotiate and manage vendor contracts (facilities, IT support, cleaning, security, catering, etc.)

  • Ensure service level agreements are met and costs are optimized

Workplace Experience & Culture

  • Create and maintain a high-functioning, welcoming, and inclusive workplace environment

  • Partner with leadership and HR to support onboarding for growing teams

  • Lead planning and execution of company-wide meetings, events, and employee engagement initiatives

  • Implement systems that enhance employee experience as the organization scales

Cross-Functional Operations Support

  • Partner with Finance on budget tracking, expense management, and forecasting

  • Coordinate with IT to ensure technology infrastructure scales with growth

  • Support HR with compliance, employee documentation, and workplace policies

  • Serve as a central point of coordination across departments

Leadership & Ownership

  • Build and manage administrative or facilities support staff as the office grows

  • Develop KPIs to measure operational efficiency and workplace effectiveness

  • Proactively identify risks and implement preventative solutions

  • Act as a trusted operational partner to executive leadership

Qualifications

  • 4+ years of progressive experience in office management, workplace operations, or facilities management in a high-growth environment

  • Demonstrated experience supporting a team of 40+ employees (experience scaling beyond 60+ preferred)

  • Strong budget management and vendor negotiation experience

  • Proven ability to build scalable systems and operational infrastructure

  • Exceptional organizational, project management, and problem-solving skills

  • High level of discretion and professionalism

  • Proficiency in Google Workspace, Microsoft Office, and workplace management tools

Preferred Qualifications

  • Experience leading office expansions or relocations

  • Background in startup or rapid-growth environments

  • Familiarity with compliance, workplace safety standards, and risk management

  • Experience managing support staff
