We are currently looking for an HR Operations Specialist to strengthen our HR team in Dubai. We are seeking a professional who will systematically support HR operations, improve operational processes, and work closely with the HRBP and HRPP.
Key Responsibilities
HR Administration
Prepare, process, and maintain HR documentation throughout the employee lifecycle, including employment contracts, offers, certificates, policies, and other personnel documents in compliance with UAE labor legislation.
Maintain and update employee personnel files and HR records, ensuring accuracy, completeness, and compliance with legal and internal requirements.
Generate employment certificates, confirmations, references, and other HR-related documents upon request.
Conduct regular audits of employee files and HR documentation to identify missing information, inconsistencies, and compliance risks.
Ensure HR documentation is audit-ready and compliant with applicable labor laws and internal policies.
Immigration Administration & Back-Office Support
Support the administrative and compliance aspects of immigration processes, including work permits, employment visas.
Prepare, review, and maintain immigration-related documentation, forms, and applications to ensure accuracy and compliance with local immigration regulations.
Collaborate closely with external immigration consultants and service providers throughout visa application and renewal processes.
Monitor application statuses, provide required company information in a timely manner, and ensure compliance with local immigration and employment regulations.
Administer employee medical insurance, coordinating enrollments, policy updates, provider communication, and resolving employee inquiries.
Leave & Absence Administration
Maintain accurate records of all employee absences, including annual leave, sick leave, and other leave types, in accordance with local labor legislation and internal company policies.
Monitor leave balances and ensure compliance with company procedures and statutory requirements.
HR Financial Administration
Review and reconcile invoices related to employee medical insurance and external HR service providers, ensuring alignment with agreed pricing, contracts, and service terms.
Initiate and coordinate payments through internal payment systems for insurance providers, contractors, and HR-related vendors.
Monitor HR-related expenses and maintain accurate financial records for HR operations activities.
Cross-Functional Collaboration
Work closely with the Legal team to review non-standard employment documentation and minimize legal and compliance risks.
Collaborate with the Finance team by providing accurate employee and payroll-related information to ensure timely salary processing and statutory contributions.
Support effective communication and coordination between HR, Legal, Finance, and external service providers to ensure smooth HR operations.
Requirements
Professional Experience & Skills
1+ years of experience in HR Operations, HR Administration, or Personnel Administration, including experience with UAE labor legislation and immigration processes.
Experience cooperating with insurance brokers or insurance providers.
Strong understanding of HR administration processes, including employment contracts, onboarding, and time tracking.
Knowledge of HR reporting and analytics, including data consolidation and audit preparation.
Understanding of HRIS systems, HR process automation, and participation in system implementation or optimization projects.
Strong analytical and data interpretation skills.
Excellent attention to detail and organizational skills.
English proficiency: B2 minimum.
