Recruiting Operations Associate

San Francisco

Job Description

About Casa

We believe owning a home should feel as special as the moments that take place within them. If our mission inspires you, we'd love to hear from you.

About the Role

We’re hiring a Recruiting Operations Associate to drive execution across Casa’s hiring engine in San Francisco.

This is a high-output, operations-heavy role. You will own the day-to-day mechanics of recruiting, ensuring candidates move quickly, pipelines stay full, and hiring targets are consistently met. This role is critical to Casa’s ability to scale.

You are not here to “assist” recruiting, you are here to run the process.

You’ll work directly with leadership and hiring managers to eliminate bottlenecks, maintain velocity, and enforce a high bar across every stage of the funnel. The expectation is speed, precision, and accountability. Opportunities to step in at this stage and directly shape a company’s growth are rare - this role sits at the center of that.

What You’ll Be Responsible For

  • Drive pipeline velocity and interview scheduling at speed and scale across multiple roles, time zones, and stakeholders

  • Own candidate pipeline health - ensure consistent top-of-funnel volume and no gaps

  • Source and engage candidates directly to meet hiring targets

  • Conduct initial screens to quickly assess baseline fit and move qualified candidates forward

  • Maintain strict operational discipline across ATS, data tracking, and candidate status

  • Ensure zero drop-off due to poor communication or process breakdowns

  • Track and report on key metrics (pipeline conversion, time-to-fill, throughput) and take action on insights

  • Own candidate experience execution - fast, clear, and professional at every touchpoint

  • Run background checks, offers, and onboarding logistics with speed and accuracy

  • Identify inefficiencies and fix them - continuously improve systems, workflows, and communication

  • Document and standardize processes to enable scale and consistency

  • Support high-priority hiring initiatives (events, referral programs, surge hiring needs)

About You

You are an operator first.

  • You move quickly, stay organized, and don’t let things slip

  • You take ownership of outcomes, not just tasks

  • You are comfortable managing high volume without losing precision

  • You identify problems early and solve them without being asked

  • You hold a high bar for responsiveness, follow-through, and detail

  • You are motivated by hitting targets and keeping systems running cleanly

You don’t need deep recruiting experience.

You need to be:

  • Structured

  • Relentless about execution

  • Comfortable in a fast-moving, ambiguous environment

  • Focused on results

Must Haves:

  • 2-4 years of experience in recruiting support or operations roles

  • 1+ year touching recruiting or people ops workflows

  • Must have owned a process or system, not just executed tasks

  • Strong organizational and communication skills

  • Comfort using spreadsheets, ATS tools, calendars, and scheduling software

  • Ability to manage multiple tasks and deadlines simultaneously

  • Professional demeanor and commitment to creating an excellent experience for candidates and internal stakeholders

  • Collaborative attitude, flexible, and willing to jump in wherever needed

What sets great candidates apart:

  • High standards - you care deeply about execution details and get energy from turning messy, inconsistent operations into something boring, predictable, and high-performing

  • Operational rigor with results - you’ve built process, dashboards, and accountability systems that measurably improve KPIs (throughput, quality, cost, conversion) in real-world operations

  • Empathy for homeowners - you intuitively understand the trust required in home services

  • Relevant operating background - experience in tech/tech-enabled high growth companies, or other fast-paced, high-ownership environments
