The Job

The Sales Administration Manager will oversee the Order Management team in North America and Europe. This person will be responsible for coaching and development of Order Management Specialists and collaborating closely with cross-functional departments to ensure orders are processed accurately and efficiently. As scaling and automation are a large focus, this person should be able to demonstrate the ability to drive process & systems enhancements and provide the appropriate coaching to the team. This role works closely with Finance, Sales, Support, and Operations teams to ensure we have a seamless and efficient quote-to-cash process. This position can be fully remote, hybrid, or in-person.

Responsibilities

  • Lead, manage, and grow the Order Management team
  • Act as subject matter expert on all aspects of order entry – PO requirements, revenue, shipping, incoterms, approvals, contracts, etc.
    • Customer orders
    • Internal orders
    • Demo Inventory orders
  • Ensure orders are processed in a timely, efficient, and accurate manner with strong focus on month-end and quarter-end deadlines
  • Assist Accounting on new customer review and assess viability
  • Collaborate with Operations to ensure shipping requirements can be met for month-end and quarter-end deadlines
  • Collaborate with accounting on entering orders accurately to ensure proper invoicing
  • Improve order workflow and efficiency by becoming point on all sales order This will also include checking to ensure that orders are processed correctly and substantiated with terms and conditions.
  • Own and review all customer documentation requests such as Tenders, MSA’s, bids, surveys, vendor information requests, etc.
  • Document processing procedures, ensure application of these processes, and train team members as needed
  • Participate in cross-functional projects that will help scale the business and streamline the quote-to-cash process, including system improvement projects

Qualifications

  • 5+ years of experience in leading an Order Management team in a Life Science Tools or Capital Equipment company
  • Strong technical and analytical skills, including excellent Excel skills
  • Experience with ERP systems - NetSuite and Salesforce preferred
  • Detail oriented, well-organized, and able to juggle multiple tasks in a high-pressure environment with moderate supervision
  • Strong interpersonal skills and the ability to effectively communicate with all levels of management and customers
  • Bachelor’s degree in Business, Management, Finance, or similar area is preferred
  • Ability to solve practical problems and deal with changing variables in uncertain situations
  • Proficiency with Microsoft Office applications

Compensation

The US base salary range for this full-time position is $110,000 - $130,000. This salary range is an estimate, and the actual base salary may vary based on the Company’s compensation practices. This role is also eligible for our annual bonus program and comprehensive health and retirement benefit programs.
